You can simply use business systems to complete your tasks and give a structure to your life and business. These systems will help you save time and make sure that all of the aspects of your business are well-aligned and they all fit together well.

When a business is in its early stage, the owners often try to take care of everything by themselves, including sales, financing, delivery, and customer support. They often find it challenging to assign those tasks to someone else, assuming the second person won’t be able to do a satisfactory job. Before you pull the trigger and start creating all kinds of systems, you need to take some time and think of your business as a series of systems where each system has a role and purpose.

Start by defining your core business processes rather than trying to create them all at once. Instead of creating systems for all activities, you should also look for ways to automate certain processes by using automation and productivity tools. Your goal should be to create reproducible and straightforward systems and processes. As you continue to streamline your systems, your revenues and profits will increase, and your business will be the envy of your market.

Step 1: Identifying your core business activities

The first step is relatively simple. Before setting up systems and processes, you need to write down all of your business tasks and activities. When designing your business systems, you must first consider the key tasks and processes that your business performs daily, weekly, and monthly.

Now, divide your tasks into three categories:

  • Operations
  • Sales and Marketing
  • Finance

Step 2: Break each activity into steps

Once you have written all of your business activities, break each of them into processes, tools, people, and strategies. This step will involve asking yourself to make a list of every step you need to take to complete an activity.

The segregation will help you identify:

  • Process – Checklist of all actions required to complete the task/activity

  • Strategies – List of tips and strategies you use to complete the task/activity

Once you have all of the information gathered, review each step to find alternative ways to complete the task. For example, some tasks can be grouped, automated, or even outsourced.

This will be an excellent time to start creating process documentation. Without process documentation, your team needs you to answer their questions every day, which means it not only eats up your time but also theirs. This way, the operations will be inconsistent, time-consuming, and everyone will be lost.

Here are some of the tasks processes that you may want to document:

  • Customer service process and support
  • Business planning
  • Social media marketing and affiliate marketing
  • Bookkeeping and taxes
  • Hiring and onboarding

Step 3: Identify ways to improve the process

Remember, no system or process needs to be written in stone. There is always room to improve the process. In addition, as your business grows, your working environment will also change, which means you will need to evolve the systems and processes along with it. To identify ways to improve the process, you need to think about the outcome you want from each process.

This step will ensure that the processes are executed flawlessly. If some processes are not eliminating the bottlenecks or reducing your workloads, you will need to filter your processes into four categories:

  • Delete
  • Defer
  • Automate
  • Delegate
  • Batch

Step 4: Test the systems and processes

Once the theoretical part is done, you need to move on to actual testing of the systems and processes that you have created. Be sure to track and measure factors at different test stages, including expenses, profit, sales, etc. This will help you understand whether the system is working or not. If you can achieve the desired results without any glitches and errors, you can move on and introduce the system to your team. Don’t forget to evaluate and improve the systems and processes as you continue to grow your business.

Once you have a process in place, it will be easier to hire and train new employees and grow your business. With sound systems and processes, you can build your business so that it can operate independently and generate the income you need without having to work hourly.
